Carrier compliance monitoring after approval
Save a carrier under its USDOT number and keep monitoring active. CarrierTrail compares each new public record with the last one it saved and queues every change for review. This carrier monitoring service follows published authority and insurance filings, census safety ratings, contact details and registration fields. Each change stays attached to the saved carrier so the next reviewer can see the context.
What each change shows
Each change lists the fields or filings before and after, with their dates. CarrierTrail also displays refreshed inspection, violation and crash summaries with the dates they cover. A changed telephone number or safety rating is something to investigate through your established process. Record both the change and the explanation you confirmed.
Know when a check is incomplete
Census and filing sources have their own publication schedules and can be stale or unavailable. CarrierTrail shows those limits instead of treating a failed check as a clean result. Monitoring runs on a daily schedule, so a real-world change appears once the public source has published it.
Save the review and next steps
Assign responsibility, record what was checked and save an explicit decision when appropriate. Notifications are opt-in and require a verified recipient. Pausing monitoring keeps saved history while removing the carrier from active checks; review the current record before resuming it.
Example: an insurance filing changes after approval
- Daily check: the scheduled run retrieves the carrier’s published authority and insurance filings and compares them with the last saved snapshot.
- Change queued: a replaced insurance filing appears in your Changes queue with the earlier and the new rows and their dates.
- Notification: members who opted in get notified that a watched carrier changed.
- Review: a reviewer opens the carrier, confirms the new policy with the carrier or its agent, records what was confirmed and saves the decision.
What is checked, and when
- Authority and insurance filings: checked daily against the previous snapshot. The daily batch starts at 15:00 UTC (11 am Eastern in summer, 10 am in winter).
- Census fields: safety rating, legal name, phone, physical address and registration fields, compared at each census import.
- Safety summaries: inspections, violations and crashes from the public monthly FMCSA files, shown with their date range.
- Check status: each carrier shows when it was last checked. A source that failed, came back incomplete or is more than 72 hours old is labelled unavailable, incomplete or stale.
Questions brokers ask
How often are monitored carriers checked?
Once a day. The daily batch starts at 15:00 UTC (11 am Eastern in summer, 10 am in winter), and each carrier record shows when it was last checked and the date of each source.
What happens when a source check fails?
The carrier is shown as unavailable, incomplete or stale until a later check succeeds. A failed check is never displayed as a clean result.
Who gets notified of a change?
Workspace members who opted in and verified their email address. The message is a notice, and the change itself waits in your review queue.
What happens when I pause a carrier?
Its saved history, notes and decisions are kept, daily checks stop and the slot is released for another carrier. Review current observations when you resume it.
How many carriers can I monitor?
500 active carriers on Starter and 5,000 on Team. Only active monitored carriers count toward the limit.
