- Enter its USDOT or MC number and compare the legal name and reported contact details with the paperwork you received.
- Review the public authority and insurance filing snapshots. Check their publication dates and whether the observation is complete. A failed check is shown as unavailable, rather than a clean result.
- Investigate shared phone numbers or addresses in context. Shared offices, related businesses and reporting errors can explain a match.
- Save your own decision and notes. An explicit decision preserves the source evidence available at that time.
After onboarding
Add the carrier to your active watchlist. CarrierTrail compares later published source observations with the previous usable snapshot. Daily checks can reveal changes after approval, but their timing depends on source publication and successful imports. Verify your alert email and enable notifications to receive change notices.
When a carrier stops working with you
Pause monitoring to free an active carrier slot. The carrier’s saved notes, review decisions and evidence remain in the workspace. Adding the same carrier by MC instead of USDOT resolves to the existing record; a paused record must be resumed explicitly.
What is included in the subscription?
Starter includes 100 active carriers and two workspace members for $49 USD per month. Team includes 500 active carriers and five members for $99 USD per month. Both include public-record lookup, contact connections, saved filing observations, private decisions, verified change alerts and CSV/evidence exports.
What CarrierTrail does not decide for you
The product does not certify insurance coverage, guarantee current capacity or label a business fraudulent. Other customers’ rejection decisions are not shared. Your team remains responsible for checking the proposed shipment and recording its own approval process.

A carrier review from first lookup to follow-up
Illustrative workflow: your team receives a carrier packet. The USDOT matches, but the phone on the packet differs from the reported census phone. That mismatch is a question to resolve, not a fraud verdict.
- Find the identity: search USDOT or MC and compare the legal name, address and source date.
- Resolve the question: review contact connections and official filings; record the independent confirmation you obtained.
- Preserve the decision: save Needs review until the question is resolved, then document the reason for your decision.
- Follow later observations: keep the carrier active on the watchlist and enable verified email alerts. A later published change prompts another review.
Daily source checks depend on successful imports and source publication. CarrierTrail does not provide real-time approval, guarantee insurance coverage or share other customers’ rejection decisions.
