Identify the decision first
Confirm the carrier, reviewer and decision date before downloading evidence. A carrier can have more than one decision over time. The correct export is the one associated with the review you intend to explain, not necessarily the latest source information on the public profile.
Check the exported context
Compare the exported identifiers, notes and timestamps with the decision in the workspace. Keep the checksum with the file if it is used in your handling process. A checksum helps detect a changed file; it does not independently certify the underlying public data or establish a digital signature.
Illustrative example
A colleague asks what supported last month’s approval. A current CSV can contain newer notes or source values. Export the relevant decision evidence and label it with that review date so the historical record is not confused with today’s operational list.

Illustrative scenario. A customer asks what supported a decision made last week. Today's carrier profile includes a newer observation. Exporting the current watchlist alone would not necessarily describe what was available at the time of the earlier decision.
A practical review sequence

Open the intended carrier and decision revision. Confirm its date and reviewer before exporting anything.
Inspect
Check the exported identifiers, decision and source timestamps. Make sure the file corresponds to the historical review being discussed.
Share
Use your organization's approved sharing process and include a short explanation of the decision date and export scope. Keep unrelated workspace information out of the package.
What to put in the review record
Label the export with USDOT, decision date and revision. Record the external confirmations referenced by the note separately if they are not part of the saved public evidence.
Before closing this review
An evidence export preserves a record; it does not establish that every included field was actively reviewed. Explain which observations informed the decision and which were simply available at that time.
Why can today's profile differ from a decision export?
The profile may display newer observations than those available when the saved decision was made. That difference can be expected and is why the decision date and revision matter. Identify whether the request concerns the historical reasoning or the current carrier record before choosing the export. If both are needed, label them separately and explain the dates instead of treating one as a replacement for the other.
What should accompany an evidence file?
A short description of the carrier identifier, decision date, revision and purpose of sharing. Reference any separately retained confirmation that was important to the decision but is not included in the public snapshot export.
