Broker guideSet up carrier change emails for your review workflow
Verify the recipient and assign ownership for responding to alerts.

Enable a verified recipient
Use the dashboard’s alert preferences and complete the address-verification step before relying on email delivery. Keep the intended review owner clear. An inbox receipt confirms delivery of a message, not that a colleague has reviewed the underlying evidence.
Use the dashboard as the review record
Open the saved carrier to inspect the source change and its dates. An email may be read later than it was generated, and a queued message can arrive after monitoring is paused. Record the follow-up and decision in the workspace rather than leaving the only explanation in an inbox.
Illustrative example
Two colleagues receive a change notice and each assumes the other handled it. Assign one reviewer to examine the record and another as cover. The workspace note should state what was checked and the outcome so the notice does not become an unowned task.
Alert ownership checklist
Verified recipient: __. Alerts enabled: __. Primary reviewer: __. Backup reviewer: __. Where outcomes are recorded: __. How unresolved alerts are handed off: __.
Worked review example
Illustrative scenario. A team expects alerts in a shared mailbox but no one has verified which address is configured. One colleague sees a notification and assumes everyone else received it. Reliable alert handling needs a confirmed destination and a named reviewer, not just an enabled setting.
A practical review sequence
Configure
Check the intended recipient address and complete the verification process. Confirm the relevant workspace before changing settings.
Validate
Inspect the saved alert preference and the mailbox's normal handling rules. Agree how the team will notice and route incoming messages.
Operate
Assign responsibility for opening the underlying carrier record and recording the outcome. Receiving a message is not the same as completing a review.
What to put in the review record
Keep the alert owner, configured destination, verification status and backup reviewer in your team's operational instructions. Do not put login credentials in a carrier note.
Before closing this review
If an expected message is absent, inspect the carrier's actual observation and notification settings before concluding that no change occurred. Email delivery and source monitoring are separate parts of the process.
What should be checked before assuming an alert was missed?
Start with the underlying carrier record to see whether there is a relevant observation, then check the configured destination and verification state. Distinguish source monitoring from notification delivery and from the team's handling of the message. An absent email does not by itself establish that there was no change, and a delivered email does not establish that a reviewer acted. Keep the troubleshooting question specific so the team does not change unrelated settings blindly.
How should responsibility be assigned for shared mailboxes?
Name the person or shift responsible for reviewing the underlying record and recording an outcome. A mailbox can distribute information, but it cannot own the unresolved review task.
Use these steps alongside your organization’s verification process. CarrierTrail presents public records and saves team decisions; it does not certify carriers or insurance coverage.
